AI implementation, in plain language

A short glossary for US small-business leaders planning practical AI-assisted work. Start with the workflow, agree on people and data boundaries, then decide what to test.

These terms describe working decisions, not a promise that a tool will fit every task. The right scope depends on your team, approved tools, information, and internal owners.

Workflow diagnosis
A close look at how a recurring task gets done today: its steps, handoffs, delays, rework, exceptions, tools, and information. It helps a team decide whether AI belongs in the process and where it could help, instead of starting with a tool and looking for a use.

A useful question: Where does work slow down, repeat, or need a clearer handoff?

Human review
A real check by a person who has the context, time, and authority to verify an AI-assisted result and decide what happens next. Define what needs checking and when a person must approve or take over; review should not become a rubber stamp.

A useful question: Which outputs are drafts, and which need approval before anyone acts?

AI governance
The practical rules and responsibilities that guide how a business uses AI. They cover approved tools, information that may be shared, who owns a workflow, when people review work, and how uncertain or risky cases are raised.

A useful question: Who owns this use, what information is allowed, and when should work stop?

Pilot
A limited trial of one AI-supported workflow with a clear purpose, a named owner, and a way to judge whether it helps. A team can compare the trial with its current process, listen to staff feedback, and then adjust, expand, or pause.

A useful question: What small, representative task can the team test safely and learn from?

Deployment
Putting an agreed AI-supported workflow into day-to-day use. That includes setting up approved tools and handoffs, testing representative examples, preparing the people who do the work, naming an owner, and deciding how the process will be maintained.

A useful question: Who will run, review, and maintain the workflow after setup?

Escalation path
A clear next step for an employee when an AI output is uncertain, conflicts with a source, involves sensitive information, or falls outside the agreed process. The person should know when to pause and which owner or role can help.

A useful question: When should someone stop, and whom should they contact?
